A Buyer's 5-Step Checklist for Ordering SMC Plastics (What I Learned the Hard Way)

If you're the person in your company who handles purchasing for SMC plastics, nylon sprockets, polyurethane foam, or any custom-molded rubber or plastic parts—and you're tired of discovering issues after the order arrives—this checklist is for you.

I'm an office administrator for a mid-sized manufacturing company. I manage about $300K annually across 8 vendors for everything from raw materials to finished parts. When I took over purchasing in 2020, I quickly learned that ordering engineered materials isn't like ordering office supplies. One wrong spec on an SMC sheet or a polyurethane formula, and you're stuck with parts that don't work—and a supplier who says "that's what you ordered."

Below are 5 steps I now follow for every order. Step 4 is the one most people skip. I only learned it after wasting about $2,400 on a mistake.

Step 1: Verify Material Specifications—Not Just the Name

This sounds obvious, but here's the trap: "nylon sprocket" doesn't mean the same thing to every supplier. Nylon comes in dozens of grades—Nylon 6, Nylon 6/6, cast nylon, filled grades with glass or moly. Each has different strength, temperature resistance, and wear characteristics.

For SMC plastics, the same applies. SMC is a family of materials, not one specific formula. You need to specify:

  • Resin system (polyester, vinyl ester, or epoxy)
  • Fiber content and length (affects strength and surface finish)
  • Thickness and tolerance for finished parts
  • Color or surface requirement (class A finish, textured, etc.)

I once ordered "polyurethane foam" for a cushion application. The supplier shipped a flexible polyurethane foam—which was correct by name—but the density was too low for our use. The order cost us $1,700 in material we couldn't use.

What I do now: Provide a material spec sheet or a reference standard (ASTM, ISO, or a prior approved sample). If the supplier can't confirm the exact grade in writing, I assume they don't know.

Step 2: Ask for Post-Processing Drawings, Not Design Drawings

Most of us request drawings when ordering custom-molded parts like SMC panels or nylon gears. But there's a difference between the design drawing (what the engineer wants) and the post-processing drawing (what the supplier actually delivers after trimming, deburring, and finishing).

I learned this ordering a batch of SMC housings. The design drawing showed precise dimensions. The parts arrived with flash along the edges—standard for compression molding—but the supplier hadn't trimmed them. I rejected the order, and we argued for two weeks about who should cover the rework cost. (Reverse validation: The supplier warned me they provided "as-molded" parts unless a post-processing spec was included. I didn't listen. The result was a $2,400 chargeback that I had to explain to my VP.)

Checklist item: When ordering custom-molded parts, specify whether you want as-molded or fully finished parts. Get a copy of the post-processing drawing or a written description of what the supplier considers "finished."

Step 3: Confirm Shipping and Receiving Requirements (It Matters)

This step seems administrative, but it's where things go sideways often. SMC sheets are heavy and rigid. Polyurethane foam is bulky but lightweight. Nylon sprockets are small but fragile in large quantities.

I had a vendor ship an SMC sheet order via ground freight—no liftgate, no pallet jack. Our facility doesn't have a loading dock. The driver couldn't unload it. The order sat for 3 days until we arranged a forklift rental. The vendor blamed us for not specifying "residential delivery with liftgate." Fair point—but it cost us time and an extra $350.

Before you confirm the PO, verify:

  • Delivery address has loading dock or requires liftgate
  • Weight and dimensions of each pallet (exceeds carrier limits?)
  • Special handling for sensitive materials (polyurethane foam compresses in transit)
  • Packaging: Is it stretch-wrapped? Boxed? On skids?

Step 4: Validate Payment and Invoice Process In Advance

This is the step I skip most often—and the one that's caused the most trouble. (Mental note: I really should stop skipping this.)

With SMC plastics and custom molding suppliers, payment terms vary hugely. Some require 50% deposit before tooling starts. Some want net-30 from invoice date. Some charge interest on overdue accounts starting day 31.

But the real problem is invoicing. I once ordered from a small but capable supplier. They delivered perfect nylon sprockets—on time, on spec. But their invoice was handwritten. Finance rejected it. I spent six weeks chasing them for a proper invoice. (Contrast insight: Comparing that experience with a different vendor who had instant online invoicing made me realize how much time the "cheaper" vendor cost us in internal fees.)

Before placing the order, ask:

  • What is their invoicing format? PDF with PO number line items? Or handwritten?
  • Do they accept electronic payments? ACH? Credit card?
  • Are they set up in your vendor portal already?
  • Who handles purchase orders and who are the billing contacts?

This 5-minute conversation upfront can save weeks of back-and-forth with your accounting team.

Step 5: Ask for Samples—and Set Acceptance Criteria

For SMC plastics and custom-molded parts, asking for a sample is standard. But what's not standard is agreeing on what makes the sample acceptable.

I told a supplier: "Send me a sample of the SMC panel." They sent one. It looked fine. I approved. Then we ordered 200 units. The full production run had color variation, minor warping, and surface blemishes that the sample didn't show. The supplier argued the sample was representative. I argued it wasn't. (Add omission: I should add—part of the problem was we hadn't specified tolerance for color or flatness. So there was no standard to hold them to.)

What I do now: Ask for a first-article sample and a physical sample of acceptable quality. Then document the acceptance criteria in writing:

  • Color tolerance (match to Pantone or specific chip)
  • Surface finish standard (smooth, textured, matte, gloss level)
  • Dimensional tolerance (e.g., ±0.5mm for certain features)
  • Testing requirements (if any, like compression strength for polyurethane foam)

Common Mistakes to Watch For

Based on my years managing these orders, here are the pitfalls I keep running into:

  1. Relying on verbal promises. If it's not in writing—the material grade, the tolerance, the delivery terms—it doesn't exist when things go wrong.
  2. Not checking the supplier's capacity. A small molder might be great for prototypes but can't handle a run of 10,000 parts in 4 weeks. Ask about lead times and current workload.
  3. Assuming "standard" means "stock. Most SMC plastics and custom molded items are made to order. There's no shelf stock. Plan for 2-4 weeks lead time at minimum.
  4. Forgetting about tooling costs. For compression molding or injection molding, tooling (molds) can be $5,000 to $50,000. Clarify who owns the tooling and if it can be transferred to a different supplier later.
